DMS CRM is a private, internal business tool operated exclusively by Digital Marketing Studiogenix. It is not a public-facing product, is not listed on any app store, and is not accessible to anyone outside our organisation. The application is used solely by our internal marketing and sales teams to manage leads generated through our Meta advertising campaigns.

By submitting your information through a Facebook or Instagram Lead Ad form associated with our business, you agree to the practices described in this policy.

2. Data we collect

Through our integration with Meta's Lead Ads API, DMS CRM retrieves personal data that individuals voluntarily submit via Facebook and Instagram Lead Ad forms. This may include:

Full name
Email address
Phone number
City or location (if included in the form)
Any other fields specified in the particular Lead Ad form at the time of submission

                We do not collect data from any other Meta platform feature. We do not access personal timelines,
                private messages, profile photos, friend lists, or any data beyond what is explicitly submitted through
                our Lead Ad forms.
            

3. How we use this data

The personal data retrieved through the Meta Lead Ads API is used exclusively for the following internal business purposes:

To contact leads regarding our marketing, advertising, or business services
To manage and track the lead lifecycle within our internal CRM dashboard
To assign leads to internal team members for timely follow-up
To analyse lead quality and campaign performance for internal reporting
To maintain an organised record of prospective clients and communications

This data is not used for automated decision-making, profiling, or any purpose beyond direct business communication and internal management.

4. Data sharing & third parties

We do not sell, rent, trade, share, or otherwise disclose personal data to any third party, external organisation, marketing partner, or data broker.

All lead data retrieved through Meta's API is stored securely on our company-managed servers and is accessible only to authorised employees of Digital Marketing Studiogenix who require it to perform their job responsibilities.

We may be required to disclose data if compelled by applicable law, court order, or government authority. In such cases, we will notify affected individuals to the extent permitted by law.

5. Data retention

Lead data is retained for as long as it is reasonably necessary for the business purposes outlined in this policy — typically for the duration of the business engagement or follow-up period.

When data is no longer needed or upon a valid deletion request, we will securely delete it from our systems within 30 days of the determination or request.
